Solutions · ARIA Billing
Turn billing exceptions into structured review and action.
ARIA Billing is for billing and collections teams. It explains invoices, matches incoming payments, ranks candidates for unapplied cash, and recommends delinquency treatment for a billing specialist to approve. Your billing system still calculates invoices, posts cash and fees, and makes any reinstatement or cancellation.
Billing exceptions in the current product build
In current product build| Exception | What ARIA prepares | Boundary |
|---|---|---|
| Payment matching | A recommended match of payment to policy, invoice, and amount, with reasons. | An unidentified payer goes to suspense instead of a guessed policy. A short or over-payment beyond your tolerance opens an unapplied-cash item, and the remainder is never applied to another policy automatically. |
| Unapplied cash | Ranked candidate policies for money in suspense, each with its reasons. | Escheatment aging follows your jurisdictional rules table. Dormancy periods are never assumed. |
| Delinquency | A score and a recommended treatment: reminder, dunning, notice of cancellation, or payment plan. | Grace periods come from your rules table. If a rule is missing, the workflow stops. A cancellation is never automatic. |
| Dunning and notices | Draft reminder messages, plus cancellation or non-renewal notice drafts. | Drafts only. Contact consent is checked before any channel is suggested, and ARIA does not send messages itself. |
| Invoice, reinstatement, commission | Invoice explanations and mismatch flags, reinstatement eligibility with any gap in coverage flagged, and commission checks against the producer agreement. | The core calculates invoices and taxes, reinstates policies, and pays commissions. |
Worked example: an installment-plan exception
Illustrative example on synthetic data
- Account
- Pacific Coast Transport LLC (synthetic), policy-level quarterly plan
- Input
- 4-pay plan at $21,600 per installment, with $21,600 collected and $64,800 outstanding, read from the billing system
- Recommendation
- Options with rationale: apply a late fee, record a cure, waive, or escalate for cancellation-for-non-payment review
- Human decision
- Billing specialist chooses the treatment and records the reason
- Resulting action
- The billing system posts any fee or cash. ARIA does not cancel the policy, and any notice is a draft for review.
- Evidence
- Recommendation, the options offered, the chosen treatment, the reviewer, and the reason
The financial boundary
ARIA prepares
Explanations, matches, ranked candidates, treatment recommendations, and message and notice drafts.
A person approves
Each payment exception, delinquency treatment, notice, reinstatement, and commission decision. Edits and rejections are recorded with reasons.
Your billing system executes
Invoice calculation, cash posting, fees, refunds, reinstatement, and cancellation. ARIA does not initiate card or bank payments and stores only the last four digits of account numbers.
Pilot measures
Example pilot measures
| Measure | Definition | Baseline source | Quality guardrail |
|---|---|---|---|
| Exception backlog and age | Open payment exceptions and days outstanding | Billing system queues | No increase in misapplied cash |
| Handling time | Minutes from exception opened to decision | Workflow sample | Reversal rate of posted decisions |
| Unapplied cash aging | Balance and age of money in suspense | Suspense ledger | Escheatment flags reviewed |
Hours released = eligible monthly volume × minutes saved per item ÷ 60.
